1. What is the GME System?

The GME System is a more effective way to manage your graduate medical education programs. Akcia Incorporated created the GME System that addresses common problems faced by GME Offices throughout the nation. More specifically, this system assists programs through (1) a resident information database, (2) credential tracking, (3) Web-based timesheet, and (4) accurate IRIS reporting and FTE computation based on actual time, (5)scheduling, (6)procedure tracking, (7)evaluation management and reporting.

2. What is the cost of the GME System?

The two delivery methods of the software product are:

  • Traditional licensing – the client purchases a license to use the software within their own infrastructure.  The client is responsible for providing the server hardware, server software, expertise and connectivity to the server.
  • ASP or Application Service Provider – Akcia provides the back-end requirements of the server environment including the internet connectivity to the server.  The client pays for the service on an “as-used” basis.  This alleviates the need for up-front costs such as server hardware and licensing as well as a one-time licensing fee for the GME software.

With “FULL” licensing, Akcia will provide training and implementation services at no cost with a 3 year commitment from clients at the initial contact period.  This also allows for budgeting and cost issues to be effectively addressed.

3. Do you provide support for the system?

We support Fax, Email, Web and toll-free incidence reporting.  There is no limit to the incidences although we require that certain personnel are identified as having access to support.  We follow a support chain that utilizes client participation as well.

8 am to 5 pm central during regular office days (excluding holidays).

5. Does the system have the ability to track the new 80 hour a week rule?

Yes, Residents or Faculty can input time using one of three devices: Web, Handheld Device or PC.  This allows the program coordinators to run reports for a specific time period and the report will average the hours over that time period.  The report can also be setup to run weekly and automatically be emailed to the program coordinators.

6. We have hundreds of residents at multiple facilities – how do our residents access the system?

Residents can access the system one of three ways: Web, Handheld device or PC. 

7. What are the hardware and software requirements?

8. How do I get my data from your system to the IRIS software?

The GME system allows your reimbursement department to easily create a data file, with all of the necessary information, that can then be uploaded into the IRIS software.  An errors report and a detail of the file contents report is also available.

9. Can you schedule more than one resident at a time?

10. What are the report capabilities of your system?

On Demand reporting is facilitated through the Reports application.  All reports are constructed using Crystal Reports and Ad-hoc capabilities are possible by entering parameters via the dialogs specific to each report.   Automated reporting is available via email.

11. Describe how the system allows for tracking educational progress of the resident including licensure and credentials.

The system allows for capture of all licensure, credentialing and educational events related to a resident. 

Credentials functionality includes proactive messaging for the management of any credential that may expire.  For each program a matrix of messages may be sent specifically for each credential.  All parameters surrounding the message are defined by the client and include days before or after, the message itself, etc.  This message is then delivered electronically via email through a process that runs nightly on the data server.

12. Describe how the system supports GME core competency requirements.

Using the Evaluations module, core competencies can be measured both for retention and absorption by the resident themselves and for teaching effectiveness by studying changes in a group of residents over time or within a program.  Each question/measurement can be associated with a skill that “roll-up” into a competency.

13. Describe how the system supports recording and tracking of on-call, rotation service hours, vacation, leave, and fringe benefit information.

All types of time and scheduling information is tracked utilizing web, Palm OS devices and/or pc or client-server applications.  These are segregated into specific location and activity groupings and leave/vacation is separated additionally.  The separations then correlate into on-call, rotation service or other types of activities.  All activities and locations are specific to each program and therefore tailored to each resident belonging to these programs

14. Describe how the system supports billing for Medicare and constituent hospitals for care provided.

Our system facilitates a multiple-provider environment with each provider being able to build a custom matrix of rules for IRIS reporting.  These rules specifically define IME and GME ratio behavior for reimbursement computations.

15. Describe how the system accommodates a tracking system with triggers for when RRC site visits are due (accreditation visit) for each program and internal reviews are due (midpoint between last and next).

The accreditation site visit and internal review dates (next and last) are tracked for each program.  Notifications can be set up for any number of days before or after the dates.  These notifications are sent automatically via email.  Any accreditation or internal review documents can be attached to the specific program through the application.
